2012 Vendor Guidelines

All vendors must agree to abide by all vendor guidelines and festival guidelines in order to participate.

NON-DISCRIMINATION & LIABILITY

Vendor will agree to abide by a non-discrimination policy that provides that all merchandise and services are available to all individuals regardless of sexual orientation, gender identity or expression. You indemnify and hold harmless the Utah Pride Center against any and all liabilities that may arise as a result of your participation in and conduct at the Utah Pride Festival.

REQUIRED VENDOR HOURS

  • Booths open on Saturday, from 3pm - 8 pm or later.
  • Booths open on Sunday, from 11am - 7 pm.
  • Vendors are not allowed to open late or close early.

MANDATORY ORIENTATION MEETINGS

Vendors agree to attend an annual vendor orientation meeting for move-in/out details and their vendor packet (out of state vendors are exempt and must make other arrangements prior to the festival). Vendor orientation meetings will be held on Saturday, May 19th at 10am and 12pm and again on Monday, May 21st at 5pm and 7pm.

ITEMS DISTRIBUTED AT THE VENDOR ORIENTATION

The following items will be distributed at the Vendor Orientation Meeting:

  • Booth placement assignments
  • Saturday Festival passes
  • Sunday Festival passes
  • Beverage Package vouchers (free case of bottled water and bag of ice)
  • Purchased vendor parking lot passes
  • List of purchase/provided equipment in your booth
  • Sign up list to select a load-in time assignment
  • Load-In Parking Pass

FOOD & BEVERAGES

Agree to not sell or distribute any beverages of any kind including water. Agree to not bring/transport food of any kind into the festival. Hard candy treats are allowed to be distributed from your booth space. Any/all vendors wishing to distribute any food samples must receive written approval from the festival staff no later than the vendor orientation meeting. Each vendor is allowed to arrive with one empty cooler to store their complimentary case of bottled water and bag of ice. (Exception: Food for infants and any items to meet the needs of a documented medical condition. All exceptions must be approved by your assigned quadrant captain prior.)

ENTERING & EXITING

Vendors will not drive on grass or sidewalks and abide by move-in/out instructions. Load-In will be completed during your assigned periods and completed no later than one hour prior to opening. Understand that any vehicles left on festival grounds beyond the 45 minute allotted time on an assigned/required parking pass will result in vehicle towing and applicable fees. Jumping the security fence or opening an unauthorized access is strictly prohibited. Your area will be free of all trash and recyclables by the end of the day, and these items will be placed in proper receptacles.

BOOTH PLACEMENT

Booth placement is not implied or guaranteed. The Festival accepts no responsibility for adjacent vendors selling similar items or guaranteeing exclusivity.

PRODUCTS & PROMOTION

Will sell only approved items described above on this application. All displays/merchandise must be within the 10 x 10 or 10 x 20 rented space. Distribution of handbills/fliers or solicitation outside of rented space is prohibited.

NOISE LIMITATIONS

To respect the needs of all vendors music of any kind will not be allowed to be heard from beyond the rented booth space.

ELECTRICITY NEEDS

Will not attempt to access any power source without prepayment and approval. Generators are not allowed in any vendor booths. Vendors that require power for the operation of their booth may request to be placed in the "Hot Zone" and purchase power for an additional fee when submitting their application.

SMOKING AND TOBACCO PRODUCTS

In accordance with City Ordinance Chapter 15.30, smoking is prohibited on the Festival grounds. Furthermore, it is the policy of the Utah Pride Festival that the sale of tobacco or tobacco-related items are prohibited on the festival grounds.

VENDOR EQUIPMENT

You will furnish all equipment, inventory, supplies and personnel for your booth, except as specifically ordered on your application.

FINANCES

Understand that all deposits/fees are non-refundable. You are responsible for calculating and reporting to the IRS and Utah Tax Commission.

ENFORCEMENT AND FINES

Vendor understands that the breaking of any of these vendor guidelines may be grounds for immediate expulsion and that all fees are 100% non-refundable. Vendor agrees to pay a $100 fine for the breaking of any/each vendor participation rule. Vendor guidelines are subject to change.

MISSION AND VISION

The Utah Pride Center and the Utah Pride Festival reserve the right to reject any application of, or prohibit participation by any exhibitor, vendor, entertainer, volunteer and/or parade entry, in whole or in part, including, but not limited to, any person, organization, article, conduct, printed matter, catalogue, or souvenir, that in its sole and absolute opinion, is not suitable to and in keeping with the character and guidelines of the Utah Pride Festival and the mission and vision of the Utah Pride Center.

VENDOR TICKET PROCEDURES

All vendors must agree to abide by all ticket procedures to participate.

All vendor staff members and volunteers must have a ticket to enter the festival grounds. Vendor tickets will be distributed at vendor orientation prior to the festival. Four (4) Saturday festival tickets will be provided with each 10x10 booth space purchase. Eight (8) Sunday festival tickets will be provided with each 10x10 booth space purchase. Tickets are not available for exchange or swapping (Saturday vs Sunday Tickets). Each vendor is responsible for the distribution of tickets to their staff members. Additional festival tickets will be available for purchase if needed.

VENDOR SET-UP / STRIKE PROCEDURES

All vendors must agree to abide by all set-up / strike procedures to participate.

At vendor orientation, each vendor will be allowed to sign up for a designated move-in shift. Each vendor may request one vehicle pass to be used during their 45 minute move-in shift. All vendor vehicles must be removed from the festival grounds by 45 minutes past the hour. Vehicles left unattended, without an approved valid visible dashboard parking pass, or past the allotted 45 minute move-in period, will be towed at the owner's expense. Exhibitors who do not arrive within their assigned shift may not be allowed to temporarily bring a vehicle into the festival grounds. Any/all vehicle access within the festival grounds is strictly limited to the paved roads. Driving on grass, sidewalks or any unapproved surface is grounds for immediate expulsion. All motorized vehicles must be removed from the festival grounds no later than 1:45 pm. In order to ensure the safety of all pedestrians, vehicles are not allowed to re-enter the festival grounds until the crowds have dispersed, typically some time after 8:00 pm. Vendors will be notified when it is safe to allow vehicles back into the festival grounds.

VENDOR INSTALL & STRIKE HOURS

All vendors must agree to abide by vendor install and strike hours to participate.

  • Saturday move-in hours 8:00 am - 1:00 pm.
  • Saturday strike hours after 8:00 pm - 11:00 pm.
  • Sunday move-in hours 8:00 am - 9:30 am.
  • Sunday strike hours after 7:00 pm. Vehicles will not be allowed access until after 8:00 pm at the earliest.

FOOD VENDOR FESTIVAL PLUGS FOR ACCESS TO POWER SOURCE

Food vendors without these standard festival plugs will require the rental of a converter plug.

NEW SECURITY / CLEANING DEPOSITS

Each vendor is required to submit a $50 deposit when submitting their application. This deposit is used to encourage vendors to help provide the most professional festival experience possible for festival attendees while respecting other vendors, festival volunteers and the guidelines. Applicable deposits will be refunded to the credit card that was used for the original payment within 10 days after the festival. Vendors who complete the following items will have their security/cleaning deposits refunded.

  • Open vendor booth on time (Saturday & Sunday)
  • Close vendor booth on time (Saturday & Sunday)
  • Leave booth space free of waste
  • Abide by Vendor Guidelines
  • Abide by Festival Guidelines
